1. Creating Flights and Buying/Bidding Seats

 

1.1 How do I create a flight?

Start by requesting a quote. We will search for an available aircraft on the dates and times you request and then provide you with a minimum of two quotes from which you can choose the most attractive option. We will provide you with information on the operator of the aircraft, and the aircraft type, in addition to the price, so that you can make a fully informed choice.

You can set up a flight using the link on the Victor home page or from the Get Quotes page. Here is the process:

  • Register or Sign in,
  • Visit Get Quotes and input your route, dates and times of travel,
  • (Optional) Choose an aircraft size(s) (by number of seats) - you will immediately see indicative costs,
  • (Optional) Choose an operator(s) - you will see further indicative costs immediately,
  • Click 'Request Quote',
  • (Optional) You can add a note to the request too if you have any special requirements.

Victor's goal is to return your first quote within one hour. (Where possible 08:00 am and 20:00 pm)

When you have decided which aircraft and quote best suits your needs you can accept it.
You can pay for your flight either by direct bank transfer or by credit card through PayPal. (See payment terms)

During the process we provide you with the following information to help inform your choice: indicative costs of the aircraft; the average price a seat has been sold at previously on that route; and the lowest possible price for each seat if the aircraft is fully booked on your leg and any positioning legs.

1.2 How do I search for a seat?

Start by visiting the Search for a seat page or type in your flight search information directly on the home page (right hand side).

  • Enter your route information
  • Enter your date of travel
  • Select a return date (if required)
  • Select the number of seats you require
  • Enter 'CONTINUE'

1.3 How do I buy a seat?

After you have searched and found a seat or seats available on the route you want at times suitable for you, select the number of seats you require, then click 'BUY SEAT(S)'.

Your selected seat(s) will be added to your itinerary where you can check out by clicking 'CONTINUE'.

1.4 What is following routes and watching dates?

Victor offers a unique capability for members to 'follow' routes and 'watch' dates, so that you are informed of new flights being initiated on your preferred routes and dates. Victor uses an alert system, which tells you when there are flights and seats available that you are likely to be interested in as they offer a good match to your intended travel plans.

There are three ways to assist Victor to look for matches to your travel needs:

  • Set your preferred route at registration
  • 'Watch' dates on selected route searches
  • ‘Follow’ routes during flight searches

1.5 How do I make a bid for a seat?

When a member creates a flight they may make surplus seats available to other members to purchase. To place a bid for a seat select the number of seats you require and the price you are willing to pay for them (each), and select an optional expiry date, and click 'PLACE BID'. Expiry dates allow members an opportunity to make alternative arrangements should their bid be not accepted in time for travel. Your seat(s) will be added to your itinerary, where you can check out by clicking 'CONTINUE'. Note, you will only be charged the full amount if, and when, the price of this flight reaches your allocated price.

After your bid is processed, it is entirely possible that the price of seats will further decrease. This means that you may receive part of the cost of your bid refunded to you.

1.6 How do I find available flights?

From the home page enter your route, a date of travel, the number of seats you require and click 'CONTINUE' to start a search. Where flights exist you will see a coloured date box with the price range and the total number of flights available on that day. Where no flights are available you will see a 'no seats' grey icon.

If there are no flights available you can watch that date by clicking 'Watch' in the date box. This is a key benefit of Victor membership as it enables you to signal to other members that you are interested in flying on that route on that day. Other members with similar travel plans will then be able to see that you are watching to see if any flights become available on that day. This ability encourages all Victor members to pool their travel needs and initiate shared flights, so don't hesitate.

1.8 How do I set an expiry date on a standby flight?

When placing a reservation on a standby flight you can set an expiry date. An expiry date allows you to make alternative flight plans should the flight not be confirmed. If members do not set an expiry date all bookings on a standby flight automatically expire 72 hours before departure.

2.1 How do I set route preferences?

When you registered you were asked to set a route pairing preference. You can add additional routes to your preferences from your Travel Profile page.

2.2 Can I see where and what dates other Victor members want to fly on?

Yes. We have included several ways in which the travel plans of other members are visible in an aggregated format:

From the home page you can see which are the 10 most popular routes and of those how many followers per route there are in real time.
From the search results page you can see the number of watchers (routes on specific dates) and followers (routes only) indicated by a number and member icons. If you are watching or following any flights you will see a large member icon watermarked on that specific date.

2.3 Can I receive alerts about flight routes and dates?

Yes. When you watch or follow flights you will receive email alerts when a new flight becomes available. To create available seat alerts visit 'Create Seat Alerts' and select the route you would like to receive alerts.

2.4 What is the difference between following a route and watching a flight?

The number following a route is the number of members in the community who have told Victor they would like to fly on that particular route. The number watching a date is the number who have searched for flights on that date for a particular route and indicated that they are interested in travelling on that date and wish to receive alerts and information about flights that may be initiated on their chosen route on that date.

2.5 How do I adjust flight watch settings?

If you no longer require your flight watch alerts, you can remove them by:

Via My Victor Summary page by clicking ‘Remove Watch’ at the bottom of the page, or
Via the flight/date display page by clicking ‘unwatch’ on appropriate routes and dates.

2.6 Why should I watch a flight?

Victor is a community of members who pool their interest in travelling on certain routes on certain dates in order to share a jet and significantly reduce the cost. It is very important therefore that members indicate which routes they are following and which dates they are watching. In this way all members are able to see the levels of interest in travelling on their preferred route and can make their own decisions on booking flights and seats accordingly. Members will have confidence in initiating flights if they can see that other Victor members are also interested in travelling at a similar time to the same place.

Even if you are not ready yet to initiate a flight or purchase a seat, by indicating that you are watching a route and date, you will help others to decide to initiate a flight on which you then have the option of purchasing seats. It is very important therefore that you indicate your preferred routes and signal to the community which dates you are watching.

2.7 What is the Travel Profile?

Wherever and whenever Victor members add date watches or follow routes (via seat alerts, flight search results page or the flight page) all their information is stored to their Travel Profile, which can be found in their My Victor area.

Members can view their routes in their Travel Profile and add further dates and months against these routes. Additionally, members can add more routes directly from their Travel Profile page, as there is no limit to the number of routes a member can set up.

When seats on flights that match a member's routes become available, that member will receive email alerts advising them accordingly, making it easier to view and buy seats.

3. Membership

 

3.1 What will it cost to join Victor?

There is no membership of fee or upfont commitments when joining Victor.

3.2 Why is it important for me to set up my flying profile?

The more information you give to Victor, the better the service Victor can deliver to its members in aggregating the travel plans of all members for everyone's benefit. Your profile is set up in 'My Victor' and you will be able to set your preferences for days of the week, times of the year and the time of day you generally travel. You will also be able to pick specific dates, for example the start and end of school holidays, or interesting sporting events.

By aggregating your travel preferences with other members Victor can reflect demand in the whole marketplace. The technology that drives Victor's platform will also be able to analyse this aggregated data to identify patterns of demand where it makes sense for flights to be initiated on a fixed price or stand by basis. Completing your travel profile is an essential element of being a Victor member.

4. Flights and Flying

 

4.1 What is the difference between a standby flight and a confirmed flight?

Standby flights are flights on which a minimum number of seats must be booked and paid for in order for the flight to be confirmed and to operate. The number of seats required to be confirmed is displayed on all standby flights. Confirmed flights are flights where all seats booked are fully paid for enabling the flight to be operated.

4.2 What is 'Initialising' a flight and how do I do it?

After accepting the quote and paying for your flight you must initialise your flight by setting it to either 'private' or 'public'. This will either keep the flight you occupy to yourself (private), or make any surplus seats available for purchase by other members of Victor (public). Any associated positioning flight (the ‘empty leg’) will automatically be made available for sale to other Victor members on a Fixed Price basis. Victor will rebate 70% of the proceeds of any seat sales (on either flight) back to you as the Flight Initiator.

Be sure you are clear on what you want to do as once you set the system to sell surplus seats on your flight you cannot change this.

  • From your 'My flights created' section click on 'Initialise'
  • Decide whether you want to keep your flight private or choose your seats and make surplus seats available to other members
  • Allocate seats to yourself and any other passengers travelling with you on your booking
  • Click on 'Submit'.

Note: once you initialise your flight you cannot change it.

4.3 What is a connected flight?

Connected flights are flights that are connected to each other by their outbound and return connections within a route pairing. Within Victor the number of seats are determined by adding the total number of seats for connected flights.

4.4 What do I need to do before I fly?

Ensure you have done the following before leaving for the airport:

  • Check in and add any passengers travelling with you to the flight before flight closing
  • Check your passport is still valid, and that you have any additional documents and visas required by your destination country
  • Add your passport details to the 'Passport' section and make sure you don't forget it!
  • Check which airport you are departing from and how to get there
  • Check you have directions (check with the airport handling agent)
  • Check that your baggage weight and size does not exceed the restrictions applicable to Victor members.

4.5 Is Victor a flight operator?

No. Victor acts as an agent for its members and operators in the arrangement of flights and travel. Victor members are always subject to the terms and conditions of the relevant operator.

4.6 Can I keep the cabin to myself?

Yes, you can. There is no obligation for you to sell any surplus seats on your flight but it is an option that you cannot get elsewhere. If you keep the flight for yourself and any companions then you will be the sole occupants on the outbound leg. Victor will then only sell seats on the return empty leg.

4.7 Why should I suggest a route?

In order for the Victor community to gain maximum benefit in terms of price and availability we need to know where to focus our efforts and invest our marketing resource. As members suggest routes, we will be looking at the routes with the largest number of suggestions and focusing our marketing effort in these places. Victor has many partners such as hotels, resorts, yacht charterers and property rental or sales companies, and we will be encouraging these companies to book flights on our most popular route pairs for their maximum benefit of their own customers. It is very helpful to know which routes and destinations are the most sought after amongst the Victor community.

4.8 How do I know which seat is mine?

When you initiate a flight or book a seat you select the seats you want for yourself and any companions travelling with you. The remaining unselected seats are then made available for sale should you wish to sell them and reduce the cost of the flights. Unallocated seats are then visible to seat purchasers who can then select the one(s) they want when they book and pay for their flights. The confirmation of seat number(s) is emailed to you when the flight is confirmed and can also be found within your 'Flights' page of My Victor.

4.9 How soon before the aircraft closes?

A flight will normally close for sale at 24 hours before the departure time. This allows us time to process all passenger and passport details with the relevant customs and immigration authorities.

In addition:

Bids on seats: are valid and binding up to 72 hours before a flight and
Standby flights: remain on standby up to 72 hours before a flight.

4.10 When do you need my passport information?

We will need your passport information at least 72 hours before you fly (24 hours at the latest).

4.11 How many pilots will be on the aircraft?

Victor approved operators will always have two pilots operating a flight.

4.12 Will there be a stewardess or cabin attendant?

No, there are no stewardesses or cabin attendants onboard, however, they are available on some larger aircraft at extra cost on request at info@flyvictor.com or by calling +44 20 7384 8550.

4.13 How much baggage can I take?

Baggage space can be at a premium on smaller aircraft and for good operational and safety reasons Victor must impose strict baggage restrictions:

Hold baggage: One soft medium sized bag per passenger. Maximum dimensions: Size 30"(76cm) x 15" (38cm) x 13" (33cm), weight 20kg max.
Cabin Baggage: In a private plane there is no overhead storage. Please restrict cabin baggage to 5kg and to a size that you could comfortably place around your feet or on your knee.

4.14 Will there be any catering on flights booked through Victor?

Yes. Catering will typically include:

Breakfast (Flights taking off between 06:00 am and 10:00 am): Croissants, fresh fruit, fresh orange juice, tea and coffee.
Other times: A selection of sandwiches, fresh fruit, complimentary bar and soft drinks, tea and coffee.

4.15 Can I take pets?

Yes, but with some restrictions. You may take pets holding a valid pet passport on flights from any UK airport. There are, however, restrictions on entering the UK with pets; they must fly on a DEFRA-approved carrier and to a DEFRA-approved airport. Most Victor operators are DEFRA-approved, but please contact Victor Operations for advice regarding your particular travel plans before booking. Additionally, please note that any pet over 30cm in height and 10kg in weight will need to be allocated its own seat, and added to your passenger list in Account Settings. 4.16 Do you have any restrictions for children?

On Victor flights, children under the age of 12 years must be accompanied by a person of 16 years of age or above. The person accompanying the child can be a family member, guardian or other appointed person. In addition, regulations in Italy have changed which affect Italian national children up to and including 14 years of age when travelling alone. 4.17 What happens if the flight is delayed or cancelled due to bad weather, technical problems or Air Traffic Delays?

Weather, technical problems and air traffic delays can affect your flight plans when chartering an aircraft. The Civil Aviation Authorities have many regulations concerning weather, types of aircraft and pilot capabilities. Some aircraft are equipped with technology that allow operation in complex weather such as icing conditions or storms. The operator you select can explain the operational limitations of the aircraft and the company’s authorisations. The Captain of the aircraft is in command of the flight and has sole authority before and during the flight as to the safe operation of the aircraft. He or she will not fly an aircraft if the weather conditions do not meet the standards of his or her certification or if any other factors affect the safe operation of the flight. By accepting the operator’s terms and conditions you agree to the authority of the Captain and the crew of the aircraft, and the relevant regulations governing the decisions they make regarding the operation of your flight.

If a flight is delayed for any reason you can contact the Victor operations team who will use all reasonable efforts to assist you and provide you with the necessary advice.

5. Pricing and Payment

 

5.1 How does Victor calculate the initial charter quote?

Victor searches amongst its network of partner aircraft operators for the most competitive prices for the itinerary the Flight Initiator requests. The price quoted will reflect the type and size of aircraft required for the requested itinerary and the availability of a suitable aircraft from amongst Victor’s contracted operators.

Victor adds a transaction fee to the operator’s quotation of just 5% to cover administrative costs. This compares very favourably with commissions charged by brokers which are typically between 7.5% and 15%.

5.2 What is 'FareShare™' pricing?

Victor's FareShare™ pricing policy is designed to reduce the price of a seat on a Victor flight in proportion to the number of seats booked by seat buyers on that flight. Simply put, the total price of the flight will be shared equally across all of the seats sold on that flight to the seat buyers. Where more seats are sold, on either part of the journey, seat buyers will be refunded part of their seat cost. Where more than one seat is selected the price per seat drops pro rata. The Flight Initiator will receive 70% of the proceeds from the sale of seats once the flight is completed.

5.3 What affects the price of a 'FareShare™' seat?

When more seat buyers join a flight the price per seat decreases as the cost of the flight is shared ('FareShare™'). More passengers join a flight because routes and dates are popular amongst members or because a flight is created and booked far in advance of the departure date, allowing more time for passengers to join the flight.

5.4 How does the Flight Initiator benefit from seat sales?

Victor will rebate 70% of the proceeds of any seat sales to the Flight Initiator whether sold on the occupied flight or on the associated positioning flight (‘empty leg’). The rebate will be paid to the Flight Initiator within fourteen days of the flight being completed.

5.5 What is 'Fixed Priced' pricing?

Not all flights are based on 'FareShare™'. Seats on many flights are offered on a 'fixed price' basis. The price of these seats are fixed at the time the flight is initiated and will not change. In some cases (standby flights) there is an occupancy requirement for the aircraft to go from standby to confirmed. This means that Victor will require a certain minimum number of seats to be booked before the flight is confirmed.

In addition Flight Initiators have the option of placing the surplus seats on the flight they occupy for sale at a Fixed Price if they think this is more likely to achieve sales. An appropriate price will be agreed between the Flight Initiator and Victor Operations.

Please be aware that in the event of cancellation no refunds are available for bookers of fixed price seats. However, Victor will allow the names on seats that have been fully paid for to be changed up to 24 hours before departure, allowing members to reassign their seats to other members if they have to cancel.

5.6 How do I pay for my aircraft or seat (bid)?

You can pay Victor for your flight or seat either by direct bank transfer or on a credit or debit card.

 

5.7 What payment methods are available?

Victor offers payment facilities on credit cards (Visa and Mastercard) via Skrill. Skrill is a safe and simple way to pay online.

5.9 What do I do if there is a problem with my payment?

If you have any queries regarding your payment (e.g. amount charged, funds available) or your actual flight booking (e.g. to change a passenger name or check flight details) please contact Victor at (info@flyvictor.com) or call +44 (0)20 8384 8550.

5.10 Can I cancel a flight or a seat?

As the booking agent Victor acts between the Victor member and the operator of the flight. You should always be sure you understand the cancellation terms of the operator of your flight.

A flight booked through Victor will be confirmed when Victor accepts the booking and emails you with a booking confirmation. At this point all relevant cancellation and refund terms of both Victor and the operator apply to your booking.

If you are a Flight Initiator you can cancel your flight booking only if no seats on the flight have been sold to any other members. If this is the case and you wish to cancel you must notify Victor immediately by phone or email. Victor will issue a refund of monies paid by you for the flight, less a cancellation fee of 10% of the full amount and any applicable cancellation fees due to the operator. Refunds will be paid within seven days.

If you are a purchaser of a seat on a 'FareShare™' or a fixed price flight you cannot cancel your seat booking once your booking request has been accepted and confirmed by Victor regardless of whether you have made a payment or not.

If you are bidding for a seat on a 'FareShare™' flight or requesting a seat on a Standby flight you will be asked to pay a non-refundable deposit to Victor to secure your seat in the event that the seat request or flight is confirmed. Once Victor confirms the seat or flight you cannot cancel your booking.

If you do not complete your payment for a seat you have booked, and your booking has been confirmed by Victor, you will remain liable to pay in full, regardless of whether you (or any passengers in your party) take up your seat(s).

No refunds can be made in the event that you or any passengers in your party do not take up your seat(s) on a flight for any reason.

If you cannot take up your seat for any reason and you are the purchaser of a seat or seats on a 'FareShare™', fixed price or Standby flight, you can reassign the seats you have purchased and paid for in full to any other Victor member at any time up to 24 hours before flight departure subject to an administration fee of £35.

5.11 When will I get my refund and where will it be sent?

All members entitled to a refund under the cancellation terms of Victor and the operator's terms and conditions will receive their refunds within seven days of ‘wheels down’ status of their intended flight.

Refunds will be made through the same method of payment used to make the original payment. Refunds may be subject to the deduction of any payment charges levied on Victor at the time of the original transaction.

5.12 How secure is my money when I pay for a flight or seat through Victor?

Funds received by Victor in payment for flights and seats from members will be paid directly into a client deposit account and held in trust until such time as the payment becomes due to flight operators. Payment for flights will be made to the operator from the client deposit account in sufficient time to clear the operator’s account in full, at least 24 hours prior to the last-time close of banking (during normal banking hours) before the flight departure time.

Through the use of a client deposit account for all member payments Victor offers members complete peace of mind, and the security of knowing that their monies paid to Victor for flights or seats can only ever be used to pay the operator for the flights or seats they have booked. In the event that Victor has an administrator, receiver, trustee or any other person or entity appointed over a part or all of its assets or business, such entities will have no claim over the funds held in the client deposit account which will be available solely for the payment of monies owed to the operator.

In the event of a member cancelling their confirmed flight, and where cancellation fees fall due as set out in the operator’s terms and conditions, then member funds which are held in the client deposit account will be used to settle any cancellation fees owed to the operator before any balance of funds are then returned to the member.

6.3 What is our service delivery policy?

Victor is a ticketless service; it provides confirmation of sale (seat purchase or aircraft charter) via the Victor website and email, which can be saved and printed by the member. The member’s reference email is sent within a few minutes of booking, and again when payment has been received and processed.
A booking reference is issued which includes the passenger(s) name, seat number(s), departure and destination airports and departure time.
A record of all member bookings are saved to the individual member’s private 'My Victor' area within the Victor website, and includes the booking and payment information.   • Victor's 'FareShare™' information (if applicable)
  • Handling agent information and contact
  • What is required next for each flying member (e.g. check in and passport information)

6.3.2 Members purchasing the ‘right’ to passage on a flight seat(s) email (full flight charter):

  • Flight itinerary (date/time, route, flight number)
  • Victor's 'FareShare™' information
  • Allergies or carrying pets
  • Handling agent information and contact
  • What is required next for each flying member (e.g. initialise their flight to make public or private)

7. Airports, Operators and Handlers

 

7.1 Where do I go to at the airport?

You will receive an email 72 hours before a flight advising you the name of the handling agent for your flight. In the email will be a direct link to the handling agent’s web site and directions to find them. A list of all the airport handlers used by Victor members can be found on our airports pages.

Our terms and conditions state that you must arrive in sufficient time to join your flight before the scheduled departure time. We generally advise that you should arrive 20 minutes before take off but facilities and security processes can vary widely between airports so if in doubt call Victor Operations for advice about your particular departure airport.

7.2 Is there parking available at the airport?

Yes. Most airport handlers offer free parking outside their facilities subject to availability of spaces. Contact the handling agent directly for specific information.

7.3 Where do I meet my fellow passengers?

You should meet your fellow passengers in the first class lounge of the handling agent. Please ask at reception to be advised where to find fellow Victor passengers. If you are the first member to arrive please advise reception so you can be identified for other members.

7.4 Are the operators we book with safe?

Yes. All Victor-approved operators are audited by their country's Air Transport Authorities to operate commercial flights. All Victor's operator information, including Aircraft Operator Certificate (AOC), Terms Of Carriage (TOC) and Insurance Certificate (IC) for each aircraft , is available on the Victor website.

7.5 What about the ground facilities/transportation?

Airport and terminal facilities vary from airfield to airfield. Most will have many of the facilities of first class lounges at major airports including waiting areas, restrooms and telephones. These facilities are operated by the ground handling agent or fixed base operator (FBO), who can also arrange or provide ground transportation to your onward destination. Victor will inform you of the name of the ground handler or FBO your operator will be using, including contact information. You can contact them directly and they can prearrange ground transportation to be waiting for you upon your arrival.

They can also offer advice on local hotel accommodation. At some smaller airfields these facilities may be basic and in some larger airports you may be asked to meet in the main terminal. In these cases Victor will give you the exact location you should meet the Captain of your flight and his telephone number should there be any problems. Whilst facilities may be limited, using smaller airports with a focus on private aviation means you will avoid the delays and hassles so often found at the major airline hubs. This is one of the major attractions of flying privately and ground facilities are designed to minimise the time spent at the airport. It is likely that you will also be landing at an airport closer to your final destination than if you had flown to a major airport.

8.2 Am I covered by insurance to fly?

Yes. You are covered by the operator's insurance in relation to the operation of the aircraft on which you are flying. Passengers are covered under international law and the level of coverage varies depending on the operator. You can view and compare the different insurance levels of the aircraft on the operators’ pages.

However, this is not the same as travel insurance and Victor recommends that all members travel with a comprehensive travel insurance policy.
